A professional email address uses your domain, such as coach@yourbusiness.com. Use it for the business mailbox you check for client questions and replies.

Professional Email or Inbox Email?

A branded design changes the message’s appearance. It does not create a mailbox, connect your Gmail account, or authenticate a custom sending domain.

What you’ll need

  • Your business domain and access to its DNS settings
  • An administrator for your email service
  • A plan for any existing mailboxes before changing where incoming email is delivered
If you already receive business email at your domain, keep that service in place unless you intend to migrate it. Setting up a CoachIQ website or choosing a branded email design does not require replacing your working mail service.

Set up a mailbox with Google Workspace

Create or use your Workspace account

Start with Google Workspace and review the plan and local pricing shown during signup. Use your existing domain, or register one through a domain provider. Choose a mailbox name such as coach, hello, or your own name.

Verify domain ownership

Follow the Google Admin setup instructions for your domain. The person managing your DNS may need to add a verification record before you can activate Gmail.

Route email to the correct provider

Follow Google’s current MX-record and Gmail activation instructions. Use the values shown for your setup. Working older Workspace configurations may use legacy MX records and do not need replacement just because a newer setup guide shows different values.MX changes affect incoming email for your domain. Coordinate them with whoever manages your existing email service. DNS changes can take time to take effect.

Configure email authentication

Follow Google’s SPF guidance and DKIM guidance. Include the services that actually send email for your domain, then follow the provider’s DMARC rollout guidance. Avoid replacing an existing authentication record without checking its other senders.

Test the mailbox

Sign in to Gmail, send a test message to an address you control, and reply from that address. Confirm both directions work before sharing the mailbox with clients. Add the mailbox to the devices your staff use and make sure someone monitors replies.

Use it alongside CoachIQ

Use your business address in the contact details you share with athletes and parents. For announcement replies, review your organization’s configured reply-to address and make sure it is a mailbox your team checks; see Announcements. To compose a branded message, follow the Inbox Email guide. Check the current group, recipients, message links, and design before sending. Editing the visible footer text is not the same as changing the actual reply-to configuration.

Troubleshooting

  • Incoming email stopped after a DNS change: have your domain/email administrator check the MX records against the intended provider.
  • Domain verification is pending: follow the status and record requirements shown in Google Admin; contact your domain provider if you cannot edit DNS.
  • Mail arrives in spam: check authentication and use the email provider’s delivery troubleshooting. Branding alone does not guarantee inbox placement.
  • You only need to send a CoachIQ email: open Inbox → Create New → Email. You do not need to complete a mailbox migration to use the composer.
