Before CoachIQ can manage your Facebook and Instagram ad campaigns, you need to grant access to your Meta Business Manager. This is a one-time setup that takes about 5 minutes.

Before you begin

You’ll need:
  • Admin access to your Meta Business Manager
  • An ad account connected to your Business Manager
  • A Facebook Page connected to your Business Manager
  • The email address provided by your CoachIQ account manager
You must have Admin permissions on your Business Manager to grant access. If you’re not sure whether you’re an Admin, check with whoever originally set up your Meta account — or reach out to CoachIQ and we’ll help you figure it out.

Grant access

Open Business Settings

Go to business.facebook.com and log in with your Facebook account.Click the Settings gear icon in the bottom-left corner to open Business Settings.
Bookmark this page — you’ll come back here anytime you need to manage permissions.

Add your CoachIQ account manager

In the left sidebar under Users, click People.Click the Add button in the top-right corner, then:
  1. Enter the email address your CoachIQ account manager provided
  2. Set the role to Employee
  3. Click Next
Why Employee? Employee access is all CoachIQ needs to manage your campaigns. You keep full Admin control of your Business Manager.

Assign ad account access

After adding the person, you’ll be prompted to assign assets.
  1. Click Ad Accounts in the asset list
  2. Select the ad account you want CoachIQ to manage
  3. Toggle on Admin access
  4. Click Save Changes
Why Admin on the ad account? This allows CoachIQ to create campaigns, adjust budgets, manage audiences, and access performance data — everything needed to run your ads effectively.

Assign Facebook Page access

Still in the asset assignment screen:
  1. Click Pages in the asset list
  2. Select your Facebook Page
  3. Toggle on Create content, Manage ads, and View performance
  4. Click Save Changes

Confirm the invitation was sent

Your CoachIQ account manager now appears under People with a Pending status.They’ll accept the invitation within 1 business day, and the status will change to Active.
Done! CoachIQ will confirm directly with you once access is accepted and campaign setup can begin.

Understanding access levels

With Employee + Ad Account Admin access, CoachIQ can:
  • Create and manage ad campaigns
  • Adjust budgets and bidding strategies
  • Create and edit audiences
  • Access performance reports and analytics
  • Publish ads from your Facebook Page
What CoachIQ cannot do:
  • Delete your ad account
  • Change account ownership
  • Access your personal Facebook profile
  • Remove other team members from your Business Manager
Yes — you maintain full ownership and can revoke access at any time:
  1. Go to Meta Business Settings
  2. Click People under Users
  3. Find the CoachIQ team member
  4. Click Remove
Your ad campaigns and data remain in your account even after removing access.
No. CoachIQ only has access to the business assets you explicitly assigned (ad account and Page). They cannot see personal messages, photos, or profile information.

Troubleshooting

You likely don’t have Admin permissions on the Business Manager itself.What to do: Contact whoever originally set up your Meta account and ask them to either upgrade you to Admin or add CoachIQ directly. You can also reach out to us and we’ll walk you through it.
A few things to check:
  • Verify the email with your CoachIQ account manager (watch for typos)
  • Make sure you’re entering it in the People → Add field, not the “Add Partner” field
  • The email may already be associated with another Business Manager
If it still doesn’t work, ask your CoachIQ account manager for the Business Manager ID and use the partner method below.
Assign the ad account you want CoachIQ to manage for your coaching business. If you’re not sure which one, your account manager will confirm during your discovery call.
You’ll need to create a Business Manager first. Meta requires it for granting ad account access to partners.Follow Meta’s guide to create a Business Manager account, then come back here to grant access.
Meta limits the number of people with access to each ad account.Fix: Remove inactive team members or previous agency access under People, then try adding CoachIQ again. If you’re still stuck, contact Meta Business Support.
Invitations are typically accepted within 1 business day. If it’s been longer:
  1. Verify you used the correct email address
  2. Check that the status shows Pending under People
  3. Message your CoachIQ account manager to confirm
If needed, screenshot your Business Settings showing the pending status and send it to your account manager.

Alternative: Grant access using Business Manager ID

If the email method isn’t working, you can grant access using CoachIQ’s Business Manager ID instead.

Get the Business Manager ID

Ask your CoachIQ account manager for the Business Manager ID (a string of numbers).

Add as a partner

In Business Settings:
  1. Go to Ad Accounts in the left sidebar
  2. Select your ad account
  3. Click Add Partner
  4. Enter the Business Manager ID
  5. Assign Admin access
  6. Click Save Changes
The partner method grants access at the ad account level. Your account manager may ask you to also grant Page access separately under Pages → Add Partner.

What happens next

After you grant access, your CoachIQ account manager will:
  1. Accept the invitation — usually within 1 business day
  2. Audit your current setup — review any existing campaigns, audiences, and pixel data
  3. Schedule campaign planning — discuss your goals, target audience, and budget
  4. Launch your campaigns — based on your approved strategy
  5. Send weekly reports — so you always know how your ads are performing

Review access quarterly

Check who has access to your ad account and remove anyone who no longer needs it.

Enable two-factor authentication

Protect your Business Manager with 2FA in your Account Security settings.

Monitor ad spend

Set spending limits on your ad account and review campaign budgets weekly.

Keep contact info current

Make sure your business email on file with Meta is up to date for security notifications.
