Editing a booking
On Schedule → Calendar, click a session. The click view shows Duration, Time Slot, Location, Coaches, resources, and participants. Duration, Location, and Coaches each have Edit. Time Slot does not; to change the date or time, use Move Session in the header (below). You can also add a coach or a resource to this one occurrence from the click view without opening the scheduler. Footer: Add Participants and Send Message to All.
Edit duration from the calendar

Click Edit next to Duration
On the session click view, Duration shows the current length (for example 60 min). Click Edit.

Edit Duration
That opens Edit Duration. The field is Duration in minutes.Helper: the end time is named, and the change does not change the session date or start time.

Save Duration or Cancel
Click Save Duration, or Cancel.

Move an entire session
Use Move Session when the whole occurrence has to change date or time: a coach is sick, the facility is closed, a practice shifts from Tuesday to Wednesday. It moves the occurrence with everything attached to it in one action, instead of rebooking each athlete. Where to find this: Schedule → Calendar → click the sessionWhat moves with the session
- Every participant booking on that occurrence

Move the session

Open the session
Go to Schedule → Calendar and click the session you want to move. Move Session is in the header of the click view, next to the red trash icon that opens Cancel Session.

Click Move Session
The Move Session dialog opens with the current date and time shown.

Set New Date & Time
Pick the new date and start time under New Date & Time. The session keeps its current duration, so the end time follows.Moving a session does not check the new time against your availability template, so confirm the coach and any resources are actually free before you move it.

Choose how to notify participants
Notify participants is on by default, with In-app pre-checked. The message is prefilled with the original date and time and the new one; edit it to add a personal note (why it moved, what to bring).

Confirm
Click Move Session. The occurrence and all its bookings appear at the new time immediately; the old time is freed.
Every participant receives the move announcement with the original date and time and the new one.

Moving one athlete, not the whole session
Move Session always moves every participant. To move a single athlete out of a group session, cancel that athlete’s booking and book them into the new time (see Canceling bookings and Manually booking athletes). For one date of a recurring booking, use Change in the Occurrences view instead.Drag-and-drop rescheduling

Switch to Week or Day view
Use the view toggles at the top of your calendar to switch to Week or Day view.

Drag the booking
Click and hold the booking you want to move, then drag it to the new time slot.

Release to confirm
Drop the booking on the desired time. The change saves automatically.
What athletes see
When a session is booked, athletes automatically receive a confirmation email:
The email athletes receive when a session is booked. The 'Re-schedule Here' link lets them move the session themselves when self-rescheduling is enabled.

- In-app announcement — Names the original date/time and the new date/time
- Portal update — The updated session appears in their Athlete Portal immediately
- Calendar sync — Any linked calendar invites are automatically updated
Controlling whether athletes can reschedule
You can configure athlete self-rescheduling on a per-scheduler basis in Scheduler Settings → Booking Rules. There are two related toggles: Allow athletes to reschedule — When on, athletes can move their booking to a different available time slot from the Athlete Portal or app. No additional payment is required; the original credit or payment carries over to the new time. When off, only coaches and admins can reschedule — athletes must contact you to make changes. Block rescheduling within cancellation window — When on, athletes cannot reschedule once they’re inside your cancellation notice window. This prevents athletes from using reschedule as a workaround to avoid forfeiting a credit on a late cancellation. The blocking window matches your Cancellation Policy (e.g., if you require 24-hour notice, rescheduling is also blocked within that same 24 hours).
